Office Administrator/Marketing Assistant

Urban Synergy Consultants Ltd is a multidisciplinary professional consultancy firm providing a wide range of services in relation to Urban Planning, Environmental management, Project Management and Occupational Safety and Health services to both private and public sector clients.
In its endeavor to enhance its operations and efficiency the company is seeking for a self-driven, highly motivated and result oriented person who has a passion for environmental conservation to fill the position of Office Administrator/Marketing Assistant.

General Description
The successful candidate will perform assigned administrative and marketing duties in an efficient manner, in accordance with established procedures, and as directed by the supervisor, promote harmonious relationships, maintain confidentiality when appropriate and display enthusiasm.

Key Responsibilities

Office Administration Duties
Receiving and making calls on behalf of the company.

Ensure all visitors are assisted promptly and professionally.

Liaising with clients, suppliers and other staff for smooth operations of the office.

Typing and editing documents as directed.

Managing the office filling system.

Managing office petty cash.

Photocopying, binding and printing documents as directed.

Providing executive support to management.

Schedule and follow through office errands as per business needs.

Carrying out background research on various issues and presenting findings to the supervisor.

Any other administrative duties as assigned by supervisors.

Marketing Duties
Coordinating preparation of marketing merchandise.

Management of online presence; running of website and Social Media accounts.

Carrying out basic market research to develop new product lines.

Handling marketing office correspondence as needed, confirm appointments, and coordinate with appropriate marketing staff.

Marketing administrative duties.

Search for tenders and prepare tender documents accordingly.

Perform any other related duties as assigned by supervisors.

Qualifications and Core Competencies
Minimum of a Certificate or Diploma in Business Administration/Marketing/Public Relations/Sales and Marketing from an accredited institution.

At least One (1) Year experience in office administration and marketing in a moderately busy office/organization.

Good time management and organization skills.

Excellent command of both written and spoken English.

Computer literate particularly Ms. Word, Ms. Excel. Ms PowerPoint and Internet.

Ability to multitask and attention to detail.

Ability to work under minimum supervision.

Basic skills in accounting/graphic design is an added advantage.
